Today, our regional office is ranked as the fourth largest subsidiary of Dr. Ing. h.c. F. Porsche AG, Stuttgart, Germany, and it is managed by a team of 51 passionate professionals providing strategic and operational support across the Middle East, Levant, India, Pakistan, and Africa.
Our forays in India and Africa have made remarkable strides, and the journey still continues. We are consistently expanding our network; even in existing markets through new showrooms and additional state of the art facilities. Function as a liaison between the CEO and top-level managers (internal and external), local authorities and the
German Headquarters and Importers;
Prepare agenda, attending meetings, recording minutes and to transcribe correspondence from handwritten
Manage the CEO’s complex calendar and arrange meetings, including local and overseas travel and
accommodation, this support is extended to headquarter visitors where required;
Prepare the CEO for international travels including but not limited to passport and visa applications, travel
bookings and arrangements, preparation and submission of expense claims;
Compile correspondence and reports on behalf of the CEO;
Prepare, proof read and edit all outgoing correspondence e.g. letters, press releases;
Prepare and compile market briefing documents;
Manage the CEO’s workload, act as a gatekeeper and e.g. follow up meetings, external contacts;
Monitor tasks delegated by the CEO and ensure that completed work is achieved within the agreed deadlines;
Demonstrate a high degree of professionalism, initiative and independence in supporting the Executive Office on
a wide variety of topics;
Occasional support of CEO personal matters.
Oversee the contracted building facility and maintenance service companies, ensuring that basic facilities, such
as water and air-conditioning, cleanliness are well-maintained;
Supervise the work of the external employees and renewal of relevant contracts for services including security,
parking, cleaning, maintenance and cooling;
Act as first and main point of contact for any building related as well as security and cleaning service topics and
Manage budget and ensure cost-effectiveness;
Ensure that facilities meet government regulations (DSO requirements).
Strategic project support;
Ad-hoc cross departmental project work as and when required.
HEALTH & SAFETY CO-ORDINATION
Support HR Department and PME with Health and Safety co-ordination as per company policy;
First Aid trained;
Ensure First Aid boxes are appropriately furnished and coordinate with facilities contractor to run annual fire drill.
Desired Candidate Description
5+ yrs administrative support inclusive of 2+yrs as an Exec Assistant/PA
High proficiency in MS Office (excel, powerpoint, word, outlook)
Teamwork ability; Ability to work under high pressure; prioritize tasks independently;
Ability to treat information highly confidential;
UAE driver’s licence
Industry knowledge: Automotive
Years of working experience
Other: Work experience within a Multi-national organisation and/or the Middle East is desirable.
Project work experience specifically exposure to strategic projects.
